POSITION TITLE: Administrative Coordinator (Part-time; Non-exempt)

REPORTS TO: Operations Manager

Summary: Under the direct supervision of the Operations Manager, the Administrative Coordinator performs a variety of duties in the Institutional Advancement Department. The role requires flexibility, drive, resourcefulness, efficiency, superior organizing skills, attention to detail, effective time management, the ability to manage multiple priorities.
The Latino Policy Forum is the only organization in the Chicago area that facilitates the involvement of Latinos at all levels of public decision-making. The Forum strives to improve education outcomes, advocate for affordable housing, promote just immigration policies, and engage diverse sectors of the community. It does this by conducting analysis to inform, influence and lead, all with an understanding that advancing Latinos advances a shared future.
Responsibilities
- Assists Operations Manager to manage executive director’s workload and maintain her appointment schedule by planning/scheduling meetings, conferences, teleconferences, travel. Long-term goal is for coordinator to take over full responsibility for this task.
- Maintains and keeps information confidential
- Prepares reports by collecting and analyzing information
- Completes special assignments from Manager by establishing objectives; determining priorities; managing time; gaining cooperation of others; monitoring progress; problem-solving; making adjustments to plans
- Supports operations manager with board of directors responsibilities and other operations assignments
- Supports with updates/maintaining of agency files, manuals, organizational calendar, and staff directory
- Orders materials, other office supplies; coordinates staff requests for supplies; completes research for purchases; place orders; check orders received; stocks supplies; maintains inventory
- Other duties as assigned
Qualifications
BA preferred; bilingual and nonprofit work in the Latino community a plus. Minimum three (3) years related work experience. Superior communications, interpersonal, writing, organizing, scheduling, presentation, project management, problem-solving and IT skills. Knowledge and experience in CRM database a plus.
