The Latino Policy Forum is a policy and advocacy nonprofit organization dedicated to increasing the power, influence, and leadership of the Latino community and ensuring the well-being of Latinos and society as a whole throughout Illinois. The Forum's goals include focusing efforts on improving education, housing, and immigration challenges that face the Chicago area Latino community.
Summary: The Forum seeks an Associate Director of Operations and Institutional Advancement, who uses extensive knowledge and skills to ensure the organization's advancement – finance, development, administration/operations, and communications. The associate director is responsible for developing and implementing strategy to strengthen operational excellence, fundraising, fiscal management, communications, and marketing; leads annual planning; and works to promote brand and organizational impact so it is easily understood by staff, board, funders, partners, and key stakeholders.
Essential Duties and Responsibilities:
- Manages, mentors, and coaches administrative, finance, communications and development staff
- Supervises and manages operations:
- Identifies best practices, recommends solutions to streamline and strengthen operational and finance functions to improve efficiency and effectiveness.
- Works with operations manager to oversees all operations –agency vendors, facilities/lease, contracts, etc.; HR related matters – performance; designs/implements performance review processes; manages interview and selecting staff processes; works within co-employer relationship to comply with all related governmental HR policies.
- Implements, updates and orients staff training; recommends appropriate educational, developmental, and/or training programs.
- Coaches staff to manage project scope, timelines, risks, measures for achieving goals.
- Works with finance manager to schedules/oversees regular financial reporting, financial planning, budget development and monitoring, and annual audit process.
- Collaborates with finance manager and departmental staff to develop and monitor budgets for executive director and board approval.
- Supervises and manages institutional advancement activities:
- Collaborates with development manager to develop, refine, and implement agency advancement strategies to reach annual fundraising goals.
- Collaborates with communications manager to develop, refine, and implement communications, marketing, and branding strategies.
- Collaborates with communications manager to oversee, and assists with development and distribution of all publications.
- Leads process to design/implement organizational strategy, performance management, progress and tracking systems.
- Ensures effective coordination within and between departments on status of project milestones, objectives, goals, tasks, challenges, timelines and impact.
- Participates, leads discussions, documents planning/brainstorming activities around trends, future issues, and program needs to help agency understand how to meet changing needs.
Qualifications:
- Seven to 15 years proven experience in nonprofit/for profit performance/operations management. BA/BS required; advanced degree preferred. Ability to multi-task, provide effective follow-up with staff and external partners, and meet deadlines. Attention to detail and abilities to function independently and in a team environment. Excellent communications/organizational/leadership skills. Aptitude for taking initiative and problem solving. Proficient in MS Office – Word, PowerPoint, Excel; internet.
