PAY RANGE: 20hrs per week / $17-20 per hour

The mission of the Latino Policy Forum is to build the power, influence, and leadership of the Latino community through collective action to transform public policies that ensure the well-being of its community and society. The Forum works to improve education outcomes for Latino children, address housing issues, advance an agenda on immigration reform and immigrant integration, and engage in strengthening the capacity of the Latino community through leadership development in the Chicago area.
The Forum seeks an Executive Assistant to the Executive Director to enhance the Director's effectiveness by providing a full range of management, scheduling, research, and special assignment support. The role requires flexibility, drive, resourcefulness, efficiency, superior organizing skills and attention to detail, effective time management, the ability to manage multiple priorities, and excellent communications skills.
Duties and Responsibilities:
- Manage executive's workload by reading, routing correspondence; reviewing email, drafting letters and documents; collecting, analyzing information; initiating telecommunications
- Identify, research, help cultivate/build relationships, schedule meetings with potential individual, corporate, foundation donors
- Maintain appointment schedule by planning/scheduling meetings, conferences, teleconferences, travel; appropriately follows up after events on behalf of director
- Coordinate the development of board of director’s agenda/materials, schedule meetings, manage/maintain records of proceedings
- Provide historical reference (briefings) for internal/external meetings/events
- Document director’s meetings and provide follow-up notes on tasks
- Monitor and assist with tasks/projects taken on by director
- Submit director’s timesheets and expense reports in a timely manner
- Complete special assignments by establishing objectives; determining priorities; managing time; gaining cooperation of others; monitoring progress; problem-solving
- Welcome guests, in-person or on the telephone; answering or directing inquiries
- Maintain confidence and keeps information confidential
- Other duties as assigned
Qualifications:
BA required; experience in public policy, social work, or related field preferred; Bi-lingual/nonprofit/work in the Latino community a plus. Minimum two year’s work experience. Superior communications, interpersonal, writing, organizing, scheduling, presentation, project management skills. Excellent IT skills.
